Prepare your 360 order

Planning Resources...

Super User Access...

A Hogan 360 Super User is a user who has been granted access to the online Qualtrics platform which we currently use to administer Hogan 360 assessments. PBC provides training to Super Users so that they can navigate the Qualtrics platform, access their ongoing Hogan 360 projects, and make live changes to their projects in real time, any time of day. This type of access is generally recommended to clients who are expecting to order a consistent volume and frequency of Hogan 360s. It is also recommended to clients who have reasonable experience in ordering Hogan 360s. If you are ready to take a more hands-on approach with your Hogan 360 projects, you can request Super User access using the links below. Super Users will be responsible for the following activities:

  • Making a Project Template Request for each new assessment project
  • Assessment Setup including uploading Subjects and Evaluators
  • Sending Email Invitations
  • Monitoring completion rates
  • Close the Survey
  • Generating Reports

Best Practice for Nominating Evaluators & Requesting Feedback...

Whenever possible, we recommend that subjects nominate who will be providing feedback for them as a way to increase their ownership & buy-in for the 360 process. Subjects should personally contact their potential evaluators and invite them to be a part of the process and we recommend this takes place before ordering. When connecting with evaluators, it is important to:

  • Give context behind the assessment
  • Express gratitude for aiding their personal development
  • Advise on the time require to complete the assessment (i.e. 15-20 minutes)
  • Explain when they should expect to receive the email & who it will come from

Once evaluators are nominated, the email invitation is sent from support@pbcsurveys.com.

Gathering evaluator details...

You will first need to consider which evaluator groups will apply to the subject’s 360. You will be required to select up to 5 evaluator groups from a preset list, see Evaluator FAQs document.

  • We recommend nominating a total of 10-16 evaluators per subject. Evaluators should know the subject well enough to be able to comment on their day-to-day behavior. They can also be internal or external to the organisation.
  • We recommend nominating a minimum of 3-4 people per evaluator group to keep the feedback anonymous. The exception is for the ‘Manager’ evaluator group, where a single person is acceptable. Note, this means feedback is NOT anonymous for managers.
  • Subjects can upload their own list of evaluators via the online form process, and we recommend that participants first discuss their list of evaluators with their manager/sponsor before submitting.
  • Alternatively, a pre-approved list can be uploaded by the sponsor/ordering administrator (this process is usually quickest).
  • We recommend that subjects let their nominated evaluators know that they will be invited to the 360-feedback process.

Timeframes...

  • We require a minimum of 24 business hours between order submission and launch date.

  • We recommend a 2-week survey open period to gather the evaluators’ feedback.

  • Automated reminders will be sent every 3 business days to prompt outstanding evaluators.

  • Once the survey has been launched, a minimum of 5 evaluator responses are required to close the survey and generate a valid Hogan 360 report.

  • Feedback from a minimum of 2 evaluators are required per evaluator group to close the survey, otherwise all evaluator group feedback gets compiled into a single ‘Other’ evaluator group.

  • We will not close surveys or generate reports until you have reviewed the completion rates and confirmed that closure can take place, or if a 100% response rate is achieved.
